The situation

An illustrative example: a 22-rep coaching centre chain in Jaipur was running every enquiry through 6 WhatsApp Business accounts on different phones. Owner had no visibility into how many of the ~3,000 monthly leads from Meta ads actually got a reply within 2 hours, let alone closed. When two counsellors quit, their phones went with them — and ~400 active conversations vanished overnight.

What we built

We migrated all 6 numbers to a single WhatsApp Business API number on AiSensy, built a shared inbox with auto-assignment by course (NEET / JEE / Foundation), connected Meta ads click-to-WhatsApp directly into the lead queue, and added a simple bot that captures name + class + phone before handing off to a counsellor. Owner dashboard tracks response time per counsellor and conversion per ad campaign. Total build: 5 weeks, hosted on the client's existing AWS account.

The expected outcome

First-response time dropped from a typical 4-7 hours to under 25 minutes. Conversion from Meta ads improved noticeably as a direct result. When the next counsellor exited, every active conversation stayed inside the system. Owner now spends ~1 hour a week reviewing the dashboard instead of asking reps for screenshots.

Do we need WhatsApp Business API or will the WhatsApp Business app work?

For more than ~256 broadcast contacts, more than 1 user on the same number, or any kind of automation/CRM, you need the official WhatsApp Business API. The app is fine for a 1-person dukaan; the API is required for a real team. We handle the BSP onboarding for you.

What does WhatsApp Business API cost in India?

Two costs: (1) BSP platform fee — typically ₹999-3,999/month depending on inbox features and volume, (2) Meta conversation charges — ranging from ₹0.11 to ₹2.30 per conversation depending on category (utility / marketing / authentication / service). For a 5-rep team sending 10K conversations/month, expect ₹8-15K/month all-in. Significantly cheaper than per-seat SaaS once you cross 8-10 users.

Will it integrate with our existing CRM (Zoho, HubSpot, Salesforce)?

Yes. We can either replace the CRM with our shared inbox + dashboard, or keep your existing CRM as the source of truth and use WhatsApp purely as the conversation layer. Both patterns are common; we recommend based on how much your team actually uses the existing CRM.

How long until we are live?

3 weeks for a tight scope (single number, 5 reps, basic inbox + broadcast). 6 weeks for a multi-rep multi-channel build with bot, dashboard and Tally/Razorpay integration. The slowest part is usually Meta's display-name verification, which we kick off on day one.

What about the green-tick verified badge?

The official Meta Verified Business green tick is a separate Meta application — granted at Meta's discretion based on brand notability. We help you submit and document the case, but cannot guarantee approval. Most Indian SMEs do fine without the green tick; the blue checkmark for an authentic Business account comes automatically with API onboarding.

What happens if Big Helpers disappears?

You own the source code, you own the WhatsApp Business Account at Meta (registered to your CIN, not ours), and you own the BSP contract directly. Any competent developer can take over. We have been a registered Pvt Ltd since 2008 — but we still design for the case where we are not around.

Can the same number handle support, sales and order updates?

Yes — that is the whole point. Routing rules send sales enquiries to the sales inbox, support tickets to the support inbox, and automated order updates run in the background. Customers see one familiar number; your team sees the right context.

Is GST included in the price?

No — pricing on this page is excluding GST. We are a Pvt Ltd; we charge 18% GST on the invoice. BSP and Meta charges are billed separately by them and are also subject to GST.
