The situation

An illustrative example: a 90-person packaged-food distributor in Indore covering 4 districts had grown from ₹3 cr to ₹17 cr revenue in 5 years on the back of WhatsApp + Excel + Tally. Order taking lived on 6 sales reps' personal phones. Inventory was a daily Excel maintained by the warehouse manager. Reconciliation between Tally and the Excel took 3 days every month-end. The owner spent his Saturdays in the office trying to figure out what actually happened during the week.

What we built

We built an 18-month phased roadmap. Phase 1 (8 weeks): WhatsApp-based order capture with auto-quotation, GST invoicing and Tally CSV export. Phase 2 (10 weeks): real-time inventory across 1 main warehouse + 3 sub-godowns, with batch tracking and low-stock alerts. Phase 3 (8 weeks): sales rep field PWA — daily route, order capture, expense claim, attendance. Phase 4 (6 weeks): owner cockpit dashboard pulling from all the above. Total: ~9 months, hosted on the client's existing AWS account.

The expected outcome

By the end of phase 2, month-end reconciliation dropped from 3 days to half a day. By the end of phase 4, the owner saw the entire business on one screen and stopped working Saturdays. Total spend over the project was around ₹6.4L; payback inside year one from inventory shrinkage reduction and headcount they did not have to add. The next ₹15-25 cr of growth is being absorbed without proportional clerical hiring.

Frequently asked questions

Should we just buy SAP Business One or Microsoft Dynamics instead?

For SMEs above ~200 people with serious enterprise compliance needs, SAP B1 / Dynamics / Odoo Enterprise are reasonable choices. Below that, the licensing cost (₹4-12L/year for 50 users) and the implementation cost (₹15-40L) usually exceed the value. Custom + Tally + open-source ERP wins for most Indian SMEs we work with. We will tell you honestly if your case is the exception.

Is this the same as ERP implementation?

Overlapping but not identical. ERP is one possible answer to transformation; for many SMEs it is overkill. Our phased approach starts with the highest-pain workflow regardless of whether it would normally be in an "ERP". We have built ERP-like systems and we have built focused single-workflow systems — the right shape depends on you.

What is the typical timeline?

6-18 months end to end, depending on number of phases. First phase ships value in 6-10 weeks. Each subsequent phase 2-3 months. We rarely recommend timelines under 6 months (too aggressive, change management fails) or beyond 18 months (you lose momentum).

What if our team resists the new systems?

Most projects fail here, not in the code. We build the change management into every phase: discovery interviews with end users (not just owner + IT), pilot with one team before full rollout, in-person training in the local language, two weeks of side-by-side running before cutover. Adoption is the real KPI.

Can we do this without firing anyone?

Yes — and that is usually what happens. The clerical capacity you free up gets redirected to higher-value work (vendor management, customer success, business development) rather than layoffs. We have not yet seen a transformation cause headcount reduction at an SME this size; growth absorbs it.

Do you offer fractional CTO / advisory after go-live?

Yes. Many clients keep us on a 4-8 hour/month retainer after the build is done — strategic advice, vendor selection, hiring panels for in-house developers, periodic system reviews. Optional, not bundled.

What happens if Big Helpers disappears?

Every phase is built on standard, well-documented stacks (Laravel/Django + PostgreSQL + React/HTMX, plus Tally / Razorpay / WhatsApp BSP integrations). Source code on your GitHub. Deployment documented. Any competent Indian developer can take over a phase in 2-3 weeks. We have been a registered Pvt Ltd since 2008 — but we still design for the case where we are not around.

Is GST included in the price?

No — pricing on this page is excluding GST. As a Pvt Ltd we charge 18% GST on the invoice. Each phase is quoted separately so you only commit to the next one when you have seen the previous one work.
